Terms & Conditions of Enrolment and Membership
Effective from: 01.09.2026
Welcome to Glow Theatre Group. These Terms & Conditions set out the arrangements for joining and remaining a member of Glow Theatre Group, including fees, attendance, rehearsals, performances, conduct and safeguarding.
By accepting a place at Glow Theatre Group, parents/carers agree to these Terms & Conditions on behalf of their child.

Joining Glow Theatre Group
Glow Theatre Group requires a £50 joining deposit to secure a place for a new member.
The deposit covers the child’s first two rehearsal sessions and is non-refundable once the trial place has been confirmed by email.
A trial place will only be confirmed once:
- The £50 joining deposit has been received; and
- All required membership and registration paperwork has been completed.
Following the first two sessions, if your child wishes to remain a member of Glow Theatre Group and participate in the end-of-term production, the first term’s membership fees will be invoiced.
The £50 joining deposit will be deducted from the first term’s invoice.

Membership Fees
Glow Theatre Group membership is charged at £8.00 per hour, equivalent to £24 per three-hour rehearsal or performance session.
As the number of sessions varies from term to term, the total membership fee will vary accordingly.
Termly fees are payable in advance and are due two weeks after the beginning of each term, upon receipt of the invoice.
Payment should be made by direct bank transfer using the bank details provided on the invoice.
All membership fees must be paid up to date before a cast member can participate in theatre rehearsals and performances.

Leaving Glow Theatre Group
Our productions are carefully planned and cast well in advance. Because a member’s departure may affect casting and the wider production, we require six weeks’ written notice if a child wishes to leave Glow Theatre Group.
This notice period allows us sufficient time to make alternative arrangements and, where necessary, re-cast a role.
Membership fees are non-refundable if membership is terminated part-way through a term.

Attendance
Regular attendance is an essential part of being a member of Glow Theatre Group.
Our productions are developed progressively throughout the term, and every performer has an important role to play in the success of the company.
Members are therefore expected to attend all scheduled rehearsals. If your child is unable to attend, parents/carers should notify Glow Theatre Group as soon as possible and, wherever possible, in advance.
Consistent attendance is a requirement for participation in our productions.
No refunds or reductions in membership fees are given for individual rehearsals missed.

Rehearsals
Regular rehearsals take place in three-hour sessions on Saturday afternoons during term time. Rehearsal dates are published at the beginning of each term.
Members should:
- Arrive promptly and be ready to start at the scheduled time.
- Wear loose, comfortable clothing suitable for movement.
- Wear soft plimsolls, jazz shoes or other footwear as advised by the director.
- Bring water or juice and a suitable snack for the rehearsal break.
We recommend a fruit- or bread-based snack and discourage sweets and fizzy drinks during rehearsals.
Parents/carers are responsible for ensuring that children arrive and are collected promptly at the agreed times.

Theatre, Technical & Dress Rehearsals
The final stages of every production involve additional rehearsals at the performance venue.
These may include:
- Full technical rehearsals
- Dress rehearsals
- Costume calls
- Photography sessions
- Extended Sunday rehearsals
- Evening rehearsals during show week
These sessions are an essential part of preparing the production for an audience.
Cast members must be available for all scheduled theatre rehearsals and all performances in order to participate in the production.
Partial attendance at theatre rehearsals or performances will generally not be permitted, as it can have a significant impact on the production and the other members of the cast.
Parents/carers will be given details of theatre rehearsal and performance commitments as far in advance as reasonably possible.

Costumes, Make-Up, Props & Footwear
Glow Theatre Group provides the majority of the items required for performances, including:
- Scripts
- Costumes
- Stage make-up
- Hair products and styling
- Props
- Set and other production materials
Where specific footwear is required for a production, parents/carers will be responsible for providing their child’s show footwear, as advised by the director.

Tickets
Tickets for Glow Theatre Group productions are normally released for sale at least one month before the performance dates.
Tickets will generally be available to purchase online through the performance venue’s website.

Supervision & Safeguarding
The safety and wellbeing of our young performers is extremely important to us.
Children remain under the care and supervision of Glow Theatre Group staff for the duration of their scheduled rehearsal and performance sessions.
Glow Theatre Group is committed to providing a safe, supportive and appropriately supervised environment for all children and staff.
As part of this commitment, we:
- Maintain accurate registers of attendance.
- Maintain appropriate supervision arrangements.
- Keep up-to-date parent/carer and emergency contact information.
- Ask parents/carers to inform us of relevant medical conditions, allergies, asthma, epilepsy or other circumstances that may affect a child’s participation or require additional support.
- Ensure that appropriate first-aid arrangements are in place, including access to a first-aid kit and appropriately trained staff.
- Ensure that staff and other adults working with children are subject to appropriate recruitment and suitability checks.
- Do not permit children to leave the premises during or after sessions unless they are collected by a parent/carer or an authorised designated adult.
- Carry out appropriate health and safety risk assessments and implement reasonable measures to minimise identified risks.
Parents/carers must ensure that all information provided to Glow Theatre Group is accurate and kept up to date.

Child Protection & Chaperoning
Glow Theatre Group maintains an up-to-date Child Protection and Safeguarding Policy, which is reviewed regularly.
Our safeguarding arrangements include policies and procedures relating to areas such as:
- Safeguarding and child protection
- Health and safety
- Photography and filming
- Mobile phones and digital devices
- Supervision
- Risk assessment
For dress rehearsals and performances, Glow Theatre Group operates an appropriate Registered Chaperone rota, where required, in accordance with applicable local authority requirements and guidance.

Staff & Team Members
Glow Theatre Group carefully selects the people who work with our young performers.
Team members are subject to appropriate recruitment and suitability procedures, including DBS checks and/or appropriate references, as applicable to their role.
Our team includes experienced directors, musical directors, choreographers, theatre practitioners and technical specialists.

Personal Belongings
Glow Theatre Group does not accept responsibility for the loss, theft or damage of money, mobile phones or other personal belongings brought to rehearsal or performance venues.
We recommend that valuable or unnecessary items are not brought to rehearsals.

Behaviour & Conduct
Glow Theatre Group is committed to creating an environment where every young person can learn, perform and develop in an atmosphere of friendship, safety, encouragement and mutual respect.
All members are expected to:
- Treat other performers and staff with kindness and respect.
- Listen to and follow reasonable instructions.
- Work cooperatively as part of the company.
- Respect the rehearsal and performance environment.
- Support and encourage other members.
- Behave in a way that contributes positively to the group.
We have high expectations of our young performers because every member contributes to the success and atmosphere of the company.
Glow Theatre Group will not accept behaviour that is bullying, threatening, abusive, discriminatory, deliberately disruptive or otherwise detrimental to the wellbeing of other children, staff or the group as a whole.
Where concerns arise, we will seek to address them appropriately and proportionately, working with parents/carers where appropriate.
However, Glow Theatre Group reserves the right to terminate a child’s membership where serious or persistent behaviour breaches these expectations, or where continued membership is considered detrimental to the safety or wellbeing of the child, other members or staff.

Changes to These Terms & Conditions
Glow Theatre Group reserves the right to amend these Terms & Conditions where necessary.
Where significant changes are made, parents/carers will be informed as appropriate.
The current version of these Terms & Conditions will be made available to Glow Theatre Group members.
